Billable-hour revisions

The billing desk can revise the hours that will be billed while keeping the attorney's original entry on the record. Write-downs stop being an argument in the hallway.

Flat fees

Fixed-scope work billed as a flat fee on the same invoice as hourly work, so a matter that mixes both does not need two systems.

A retainer is client money until it is earned, so it lives in the trust ledger — deposited, drawn against an invoice when the work is done, replenished, every movement dated with a running balance you can hand a client.

Client trust ledgers, per matter

Every client has a ledger inside the firm's IOLTA account, and a matter can have its own where the funds need separating. The account's balance is the sum of its ledgers — not a number kept alongside them and hoped to agree.

A ledger that cannot go negative

One client's funds can never pay another client's bill. A disbursement that would overdraw a ledger is refused at the moment it is written, not caught in a review later.

Three-way reconciliation

Reconcile the bank statement against the book balance and the sum of client ledgers, with outstanding checks and deposits in transit. Completing one stores a printable record of the month it tied out.

An audit trail nothing can edit

Entries are appended, never changed or deleted — a correction is a reversing entry beside the original, and every line records who moved the money and when. Print a client's ledger statement or the full trust journal on demand.

Pull unbilled time and flat fees into a single invoice with line items the client can follow, then send it from ModusBill. Retainers are applied afterwards, as a payment against the invoice.

Invoices and payments come across

Connect a QuickBooks Online company and the invoices, customers and payments raised there appear here, with the client created or matched automatically. Available to accounting and law firms alike — plenty of law firms keep their books in QuickBooks too.

Payments you record go back

Take a payment here, by card link or by hand, and it is written into QuickBooks against the same invoice. The bill closes in both places, and the money is never counted twice.

Invoices you raise, posted as you send them

Turn it on and each invoice you send from ModusBill is posted to QuickBooks under the number your client received, with the client matched or created there. Invoices sent before you turned it on are left alone, so nothing already in your books is counted twice.

History on the first day

Bring across the invoices and payments QuickBooks already holds, as far back as you want, so the receivables you see here on day one are the receivables you actually have.

Recurring billing

Monthly bookkeeping fees, retainers and any standing charge raised on schedule as draft invoices. They wait for review rather than going out unseen, so a fee that changed this month is caught before the client sees it.

Yes. Any invoice can be exported as a LEDES 1998B file carrying UTBMS task, activity and expense codes, with the timekeeper and matter identifiers corporate and insurance clients require. ModusBill checks the invoice against the format first and lists anything missing before it produces the file.

Yes. Upload CSV exports from Clio, PracticePanther, MyCase or any spreadsheet and ModusBill maps the columns, checks every row and shows what it will create before anything is written. Clients, matters, unbilled time and expenses, invoices, payments, A/R balances and trust balances all come across, and an import can be undone afterwards.

It is one system with the vocabulary and the specialist modules following your practice: an accounting firm works in engagements with recurring billing and a QuickBooks Online connection, a law firm works in matters with IOLTA trust accounting and LEDES export. Time tracking, invoicing, online payments, A/R reporting, imports and bilingual billing are the same in both.

Yes, in both directions. Invoices, customers and payments raised in a connected QuickBooks Online company are brought into ModusBill, with the client matched or created automatically, and payments recorded in ModusBill are written back to QuickBooks against the same invoice so a bill never reads as open in one place and paid in the other. Invoices raised in ModusBill can also be posted to QuickBooks as they are sent, once the firm turns that on. You can import the history QuickBooks already holds when you connect. The connection is available to law firms as well as accounting firms. QuickBooks Desktop is not supported.
